The mistake families make
Cost and cadence. The reasonableness test asks whether cost and quantity exceed what meets the need against readily available alternatives — a top-spec machine when a mid-range one teaches the same lessons, a new laptop every year, or a second device for the same student are where this category gets questioned. The allowable path nearby
Buy one sensible machine per student, sized to the actual coursework, and replace on a believable cycle. Keep the itemized receipt; if the student genuinely needs unusual specs (video editing, CAD), keep the course context that explains it.
The receipt still has to be complete
A yes on allowability doesn't survive an incomplete receipt. Every receipt needs the vendor's name, address, and contact; the date; a receipt or order number; an itemized description; and the itemized and total amounts. Missing any field can get the expense rejected — and undocumented debit-card purchases past the quarterly deadline must be repaid.
